Background and rationale

The Consultative International Cashew Council (CICC) is an intergovernmental organization that promotes cashew value chains through policy coordination and cooperation among member states. The organization currently has eleven member states: Benin, Burkina Faso, Cameroon, Côte d’Ivoire, Ghana, Guinea, Guinea-Bissau, Mali, Nigeria, Senegal, and Togo.

As part of the implementation of the RSA-CICC Project 81301087 (Supporting and strengthening the activities of the International Cashew Advisory Council-CICC) financed by GIZ, the institution plans to use part of the funding to hire a junior Administrative Assistant.

  1. Objective

The Administrative Assistant is recruited to support the RSA-CICC 81301087 Project in its internal and external administrative tasks.

  1. Main activities, tasks & responsibilities

The Administrative Assistant personally carries out the following non-limiting objectives and tasks:

  • Ensure the management and conservation of the project’s administrative documents;
  • Ensure documentation and preparation of payments from providers to be transmitted to the CICC Secretariat for liquidation;
  • Compile project requirements;
  • Monitor the CICC staff attendance register and stop daily recordings;
  • Ensure the proper maintenance of the inventory of the project’s assets (goods and equipment, etc.);
  • Ensure the entry of project documents, reports and correspondence;
  • Ensure proper management of the stock of supplies, materials, fuel, and project equipment;
  • Ensure the stamping of project materials and equipment;
  • Ensure the physical management of the CICC headquarters (Maintenance and upkeep of facilities, etc.);
  • Receive, record and centralize physical files of service offers;
  • Organize the reception of goods and services, in interaction with the project suppliers;
  • Centralize all requests for signatures, initials and seals (stamps) necessary for the operation of the project for the attention of the Executive Secretary;
  • Ensure the submission and withdrawal of project files to the CICC Secretariat.

  1. Internal and external collaborative relationships

The Administrative Assistant maintains non-hierarchical collaborative relationships with the project’s technical and administrative team, CICC staff and GIZ MOVE/ComCashew collaborators.

  1. Candidate profile

The post holder must:

  • Have a BAC+ 3 diploma in Human Resources, Human Sciences, Management, or any other equivalent diploma;
  • Have at least two (02) years in a similar position. Practice of English, both spoken and written, would be an asset;
  • Be from a CICC member country;
  • Having experience in GIZ procedures and having worked in the cashew sector would be assets.

  1. Workplace

The position is based at the CICC headquarters in Abidjan (Ivory Coast).

  1. Contract duration

The duration of the contract is twelve (12) months with a trial period of three (03) months renewable once. The contract and its duration are conditional on the continued financing of the project.

  1. Selection method

The overriding consideration in the recruitment of CICC staff is based on the need to ensure the institution receives the services of individuals possessing the highest standards of efficiency, competence, and integrity. Recruitment is conducted without distinction based on race, ethnic origin, gender, sexual orientation, disability, religion, age, political affiliation, or social status. The process is governed by the CICC Staff Regulations.

Candidates will be selected based on their relevant qualifications and experience. Recruitment will be conducted in two (2) phases:

  • A pre-selection phase with a view to establishing a shortlist of the most qualified candidates based on the analysis of the files presented;
  • A selection phase by interviewing pre-selected candidates on the shortlist.

  • A copy of certificates or attestations supporting work experience or services provided;
  • A list of professional references (names and telephone contacts), except for Consultants and Firms.
